A European Union organisation with a local office in The Hague is currently seeking a Project Service Coordinator.

The successful candidate will be responsible for organising events, welcoming visitors, providing information to citizens on European Union (EU) related questions, giving presentations/running workshops on EU integration, etc.

 

Job Profile for Project Service Coordinator
Responsibilities will include but not be limited to:

 

Organising events (conferences, seminars, debates, discussions, competitions, movie screenings and cultural / artistic events):

  • Being the first point of contact with visitors
  • Book and prepare the conference rooms and all the necessary equipment for all events
  • Assist with the preparation of the events’ programme
  • Ensure that the logistics around the events run smoothly by keeping in close contact with civil society organisations, partner organisations, caterers etc.
  • Establish an evaluation tool to assess the priority level of each event
  • Keep the events calendar up-to-date
  • Manage a contact database and send invitations and speaking requests to (proposed) participants in events

Answering enquiries on the spot:

  • Act as a first direct point of contact for citizens who need information, have complaints or questions on EU and European integration either via telephone, written enquiries or on the spot enquiries
  • Inform citizens about the functioning and policies of the EU
  • Keep a list of Frequently Asked Questions and replies
  • Draft a monthly report of all activities and communications
  • Escalate questions or requests

Assisting visitors in their search for information:

  • Guide citizens through their research i.e. to make available tools they can use in order to find the information they are looking for, such as available publications and information material

Ensuring the availability of publications/information material:

  • Ensure that sufficient quantities of the relevant publications and information material are always available in the internal storage facility and are on hand and laid out appropriately
  • Arrange the display on the ground floor and renew the stock of publications/information material
  • Coordinate the order of fresh supplies/extra copies with the person in charge

Other tasks:

  • Give presentations and/or run workshops on various aspects of EU integration when required
  • Manage the content and suggest texts for websites, folders, posters, etc. about the organisation’s activities
  • Create posts and events for Twitter, Facebook, Instagram, YouTube and other social media platforms used
  • Actively participate in the development and execution of projects initiated by the organisation

 

Candidate  Profile for Project Service Coordinator

  • Must be fluent in English and Dutch, both written and spoken
  • University or equivalent level of education in communication/political sciences/European Studies/international relations/languages
  • At least two years’ experience of working in the field of information and communication and/or event organisation
  • Good general knowledge of the EU (context, values, duties, etc.), EU current affairs and European culture
  • Thorough knowledge of Microsoft Office, especially PowerPoint
  • Technically competent to run AV equipment such as projectors, computers, TVs, DVDs etc.
  • Good social media skills
  • Excellent organisational and communication skills
  • High level of responsibility and ability to take initiative
  • Service oriented
  • Able to work under pressure
