Our client, a highly respected and extremely prestigious world leader in the oil and gas industry, is looking for an Executive Services Senior Planner to join their dynamic, multicultural team in The Hague or in London.

 

Job Profile for Executive Services Senior Planner
Responsibilities will include but not be limited to:

  • Coordinate logistics for Corporate, Executive and General management under the supervision of the Executive Services Manager
  • Coordinate planning and logistics for business trips, conferences and large meetings, ensuring that all arrangements are complete and of acceptable standards
  • Assist in the preparation and organisation of events and board meetings and ensure accurate follow-up up on operational details throughout and after the meeting
  • Ensure a smooth work flow by keeping track of deadlines of incoming requests
  • Coordinate the unit appointment calendar, resolve schedule conflicts, and schedule meetings as directed
  • Maintain an organised filing system for the executive's correspondences, files and other records
  • Verify invoices and process accounts, as required
  • Travel to support events such as board meetings or give logistic support to a particular business operations: this is usually pre-planned however flexibility is required in order to support last minute matters
  • Prepare cultural programmes and restaurant lists and work on tour programs to support corporate management and above, as and when required
  • Occasionally, coach new hires in office procedures and day to day work methodology, if and when required
  • Perform other miscellaneous duties as directed by the supervisor or other senior team member

 

Candidate Profile for Executive Services Senior Planner

  • Must be fluent in English, both written and spoken
  • 5 years of considerable relevant work experience
  • Bachelor’s degree, preferably within Hotel school background and hospitality
  • Excellent organisational skills, efficient work ability, flexible attitude, human relations skills, tact, discretion and sound judgment in dealing with sensitive situations and information
  • Attention to detail with a focus on outstanding quality
  • Excellent experience in organising events with an ability to oversee, plan and prioritise to deadline
  • Highly motivated, competent and accustomed to working under pressure and under tight deadlines without losing the positive mind-set to problem solving
  • Flexible to travel in supporting events and business operations, as required
