Our client is a Dutch subsidiary of an international petroleum service company. They are looking for an Office Administrator/Team Assistant to run the day to day administration of the office and to ensure everything runs smoothly. This person will also support the management team, a team of international talented professionals.


Job Profile for Office Administrator/Team Assistant
Responsibilities will include but not be limited to:

General office administration:

  • Day to day running of the office, call outs, including liaison with building, maintenance, utilities and planning contractors in conjunction with the appropriate managers, overseeing the allocation of office space for visitors
  • Serve as primary coordinator of business and residential leased properties, including liaison with estate agents, solicitors and office solution companies
  • Handle incoming and outgoing correspondence and couriers
  • Ensure that all ordering of stationary and other office consumables is made in a timely manner and adequate supplies always maintained
  • Maintain effective working relationships with company offices abroad and local service providers
  • Administer office and team expenses, office account payable coordination for local vendors

Team assistance:

  • Create and maintain a well-organised and functioning working environment for the team
  • Look after all arrangements for the expatriate group of employees: residential matters, immigration requirements etc., in conjunction with appropriate managers
  • Arrange office travel and associated visa requirements ensuring required approvals are obtained, arrange ground transport for the visitors
  • Coordination of office meeting space and offsite meeting facilities
  • Corporate administrative tasks for select manager positions including expense reports, medical reporting, Dutch tax filings, and similar tasks as assigned
  • Handling confidential documents
  • File and archive documents as per compliance and regulatory requirements
  • Occasional compiling and submitting tender documents, preparing presentations and fulfilling other administrative tasks as delegated


Candidate Profile for Office Administrator/Team Assistant

  • Must be fluent in Dutch and English, both written and spoken
  • Bachelor’s degree
  • Minimum 2 years of administrative experience
  • Good knowledge of Microsoft Office
  • Excellent communication and interpersonal skills
  • Excellent planning and organisational skills
  • Pro-active, results-oriented with a positive attitude towards change
  • Strong team player but able to work independently
  • Strong problem-solving and analytical skills
  • Cost conscious, with an eye for detail
  • Stress resilience and an international mind-set
