Job Profile

Provide project planning , co-ordination & support for designated Program Managers / Program Directors in accordance with planning & procedures as agreed beforehand with the aim of helping ensure the project’s delivery on time, on target, on budget by:

Co-operating on project proposals and contracts (with a focus on layout and presentation)

Setting up project launch meetings i.e. booking meeting rooms, taking minutes & confirming action points with project teams and controlling the follow-up on certain aspects of projects as requested by Program Managers / Program Directors.

Coordinating & controlling aspects of project execution & planning internally & externally in close co-operation with other team members and under supervision of designated Program Managers / Program Directors; control timely completion of tasks and set personal deadlines for requested tasks.

Attending internal & external meetings, teleconferences and brainstorm sessions and taking minutes on request of PM / PD.

Maintaining client and KOL contacts in consultation with PM/PD i.e. sending final briefings, confirming logistical arrangements, payment of honoraria etc.

Managing faculty by making logistical arrangements, chasing for materials and keeping PM/PD updated on status as required and pro-actively informing PM/PD of problems.

Managing overall logistics for meetings by liaising with third parties such as congress organizers, hotels, logistics agencies etc.

Coordination and management of electronic and print products.

Coordinating and keeping track of the financial project administration including payment orders, invoicing instructions, pass-through overviews, project registration and proof of delivery.

Developing and maintaining appropriate account management tools (under direction of PM/PD) such as databases, project/proposal filing systems, templates, administrative summary spreadsheets etc.
Candidate Profile

MUST BE absolutely fluent in English.

Educated to the level of MBO or equivalent.

Minimum 2 years project management, project management or events management /communications experience in a middle-size international company.

It is essential that you have experience of working in either the medical communications or pharmaceutical industry.

Service & support minded: helpful, accurate flexible, trustworthy, pro-active, presentable and deadline driven.

Strong organising skills: able to co-ordinate simultaneously various projects, trafficking, congress services.

Cognitive skills: high standard of English, familiarity with Microsoft office applications, with emphasis on Word and PowerPoint, as well as of Excel/Word/PowerPoint administrative systems/ spreadsheets.

Preferably experience of communication agency, logistics agency, or publishing company and preferably of Pharmaceutical industry.
