Our client, a tourism marketing organisation supporting the South African government, is currently looking for an Administrative Coordinator to join their team in Amsterdam.

Job Profile forAdministrative Coordinator
Responsibilities will include but not be limited to:

  • Assist in the preparation of project proposals and schedules
  • Maintain files and records with effective filing systems, ensuring all information is properly stored 
  • Compile required reports on all office operations (weekly, monthly, and quarterly)
  • Coordinate internal communications to ensure all team members stay informed of changes and developments within the organisation
  • Create and/or maintain the business contacts database 
  • Administer the contract with the appointed warehouse/fulfilment centre including invoice checks, documentation and stock levels with defined reports and briefs for campaigns
  • Manage printing and distribution of marketing collateral, liaise with agencies/suppliers on receiving and distribution 
  • Proofread translation work
  • Manage agencies/purchase orders/supplier invoices and documents 
  • Coordinate all logistics of marketing and promotions events with relevant project team members
  • Coordinate official travel and ensure all travel reservations are made as required
  • Provide in-country office administrative support to Hub Heads and other broader teams as required
  • Schedule appointments and manage and maintain an electronic diary
  • Plan and prepare timeously the relevant documentation for meetings, arrange venues,  refreshments, etc.
  • Record minutes of meetings and distribute them to the relevant parties
  • Deliver receptionist and customer welcoming duties
  • Coordinate and provide administrative support with onboarding program for new employees

Candidate Profile for Administrative Coordinator

  • Must be fluent in Dutch and English, both written and spoken
  • Diploma in administration/secretarial operations or similar
  • 2-3 years of collective working experience 
  • Compliance with policies in line with relevant legislation and regulatory requirements namely Public Financial Management and Administration (PFMA), Treasury Regulations and Frameworks on performance information and strategic plans
  • Knowledge and understanding of the principles of business
  • Administrative support best practice
  • Project management
  • Knowledge of all Public Service systems and government priorities and imperatives
  • Excellent communication skills, both written and verbal, including both internal and external correspondence
