Our client, a highly respected and extremely prestigious world leader in integrated energy and chemicals, is looking for a Senior Executive Services Corporate Planner to join their dynamic, multicultural and multilingual organisation in The Hague.

This is an exciting role in which you will provide a wide range of executive level support services to Executive Management, including the President & CEO of Operations and the Chairman of the Board, as and when required. Furthermore, you will consistently ensure on-time delivery of high quality Executive Services (ES) including event coordination, operational reporting, vendor management and coordination.

Responsibilities will include but not be limited to:

General profile of the role :

  • Be an expert within the industry
  • Specialise in drafting strategies to improve the overall customer experience and service operations within Executive Services as well as anticipating internal and/or external business challenges
  • Solve unique and complex problems that have a broad impact on the business
  • Lead project teams when supporting special projects and company board meetings
  • Contribute to the development of functional strategy
  • Interpret internal or external business issues and recommends best practices
  • Be able to work independently with guidance in only the most complex situations
  • Anticipate internal and/or external business challenges and/or regulatory issues; recommend processes, product for continuous improvement

Key responsibilities:

  • Prepare and collate ES annual accountability reporting and budgeting and ensure compliance with accounting deadlines and provide them to ES Supervisor for approval
  • Take on role of Acting Supervisor when ES Supervisor is out of the office
  • Responsible for sourcing and maintaining vendor relationships and services with all vendors at the highest management level
  • Contract drafting, ensuring compliancy with company processes, in consultation with internal legal counsel for all ES Vendors globally
  • Independently negotiate rates and corporate discounts with new and existing vendors and conduct annual vendor meetings
  • Ensure contracts are carried out in line with KPI's & quality standards; establish Operational Reports for all ES events and communicate this to vendors and support team
  • Coordinate event support and executive services for the annual Global Corporate and Governmental events, including event coordination, contracting, planning and execution of the International based Executive Committee Meetings and the Board of Director Meetings
  • Independently research special event markets and liaise with offices to ascertain event requirements and provision of detailed event proposals (e.g. timelines, venues, suppliers, legal obligations, staffing and budgets)
  • Work directly with the Office of the President & CEO and Chairman of the Board/Ministerial Services, as required, coordinate stakeholder meetings and events including events related to the company’s Minister of Petroleum and Mineral Resources
  • Customer focus:

Candidate Profile for Senior Executive Services Corporate Planner

  • Must be fluent in English, both written and spoken
  • Bachelor degree is required
  • 8 years of considerable work experience
  • Excellent experience of providing a superior level of customer care
  • Experience in the hospitality / hotel industry is highly advantageous
  • The ability to develop internal and external relationships with integrity and add value
  • Excellent organisational skills, efficient work ability, flexible attitude, human relation skills, tact, discretion and good judgment, attention to detail and a high level of numeracy
