Our international client is a global Fortune 500 company, a leader in providing innovative consumer, commercial and enterprise technology with operations spread out in more than 60 countries. Their portfolio consists of high-quality and secure products and services covering personal and business hardware and software needs.
Currently, they are looking for a highly organised and proactive Office Manager to join their team in Diegem.
In the role, you will oversee all administrative activities to ensure smooth office operations, serving as the main point of contact for administration, back-office, and facility management, while supporting local management, HR, Finance, and employees as required.
Job Profile for Office Manager
Responsibilities will include but not be limited to:
- Oversee the day-to-day activities in the office, managing office supplies, beverages, and coordinating with third-party facility service providers and cleaning companies
- Maintain and manage the company’s complete digital and physical filing systems in full compliance with GDPR requirements
- Administer mandatory statistical reporting to local authorities accurately and on time
- Handle all incoming and outgoing mail and courier services efficiently
- Manage asset tracking in GAMS, company parking arrangements, and car fleet administration
- Serve as the main point of contact for environmental affairs, utility services, and real estate matters
- Act as the process gatekeeper to ensure smooth onboarding and offboarding of employees in collaboration with HR and hiring managers (including remote support)
- Organise and coordinate internal events such as team meetings, celebrations, and seasonal activities (e.g., Christmas gifts, lunches, etc.)
- Provide backup for Accounts Payable during absences, manage the purchase order process, and ensure accurate invoicing and pension documentation administration
Candidate Profile for Office Manager
- Must be fluent in Dutch and English, both written and spoken
- Bachelor’s degree or equivalent professional experience
- Have previous experience as an Office Manager or in Financial Administration (experience in an international environment is an advantage)
- Proficient with information systems and advanced in MS Word, Excel, and PowerPoint
- Possess basic financial calculation skills and knowledge of office administration procedures
- Demonstrate strong attention to detail and accuracy in handling data and administrative tasks
- Customer-focused, proactive, and capable of working independently
