Description

Our client is an international company, supplying essential industrial gases and related equipment to various sectors, focusing on innovation and sustainability. 

We are seeking an experienced Administrative Assistant to join their Rotterdam-based team, providing on-site support across a variety of administrative and project-related tasks. 

Job Profile for Administrative Assistant
Responsibilities will include, but not be limited to:

  • Provide comprehensive administrative support to the management team
  • Manage working calendars and schedule both internal and external meetings
  • Coordinate visitor arrangements, including meeting setup, conference room bookings, catering, dinners, and taxi transfers
  • Maintain key administrative documents such as the organisational chart, holiday planner, and contact list
  • Handle client and vendor correspondence professionally and efficiently
  • Support onboarding of new team members by coordinating access to systems such as Non-Person Accounts, SharePoint, MS365, LAN, and project-specific platforms
  • Manage orders for stationery and safety equipment
  • Coordinate workspace adjustments for team members
  • Support the Project Director and Construction Manager with ad-hoc and one-off tasks as required
  • Create purchase requisitions and oversee the invoice approval process
  • Update and manage construction documentation, including Excel trackers, PowerPoint presentations, EHS registers, Basic Safety Process logs, Waste Slip registers, and related statistics

Candidate Profile for Administrative Assistant 

  • Must be fluent in Dutch and English, both written and spoken
  • Strong administrative skills
  • Customer service experience
  • Strong computer skills – Microsoft Office is essential, knowledge of SAP is a plus
  • Proactive nature, quick learner, flexible attitude
